Patna: Bihar’s Transport Department has developed a dedicated school vehicle safety portal to create a comprehensive digital database of vehicles and drivers operating for private schools across the state. The portal is ready and will go live after integration with the Vahan and Sarathi portals.
The new system aims to strengthen the safety of schoolchildren by bringing information about school buses, mini-buses, vans and other school vehicles onto a single digital platform. It will also allow authorities and schools to keep track of important vehicle documents and receive timely alerts when they expire.
Schools Will Have to Register on the Portal
Once launched, the portal will require all private schools in Bihar to register their school-operated vehicles.
Schools will have to upload complete details of every vehicle being used for transporting students, along with information about the drivers operating them. This will create a centralised database that can help the Transport Department monitor school transportation more effectively.
The system will cover different categories of vehicles, including:
- School buses
- Mini-buses
- Vans and other vehicles used for student transport
The database will also contain important information related to each vehicle, allowing authorities to have a clearer picture of the vehicles being used to transport schoolchildren.

Fitness and Insurance Details to Be Digitally Recorded
A key feature of the school vehicle portal will be digital tracking of mandatory vehicle documents.
Schools will need to upload details of documents such as fitness certificates, insurance, permits and other required records for their vehicles.
This is important because the validity of these documents directly affects whether a vehicle meets the required compliance standards for school transportation.
Instead of relying only on manual checks by school authorities, the new digital system will keep these details in one place and make it easier to identify vehicles whose documents are approaching expiry.
Automatic Alerts for Expiring Documents
The portal is designed to provide automatic alerts when important vehicle documents are about to become invalid or have expired.
According to the Transport Department, once the validity of a vehicle’s fitness certificate or insurance ends, the system will automatically notify both the department and the concerned school management.
This will allow schools to take timely action for renewal and reduce the possibility of vehicles operating with outdated mandatory documents.
For the authorities, such a system can also make monitoring more systematic by providing access to updated vehicle records rather than depending entirely on physical documentation.
Real-Time Monitoring of School Vehicles
The portal is also expected to support real-time monitoring of school vehicles once the system becomes operational.
With vehicle information available digitally, the Transport Department will have a more organised mechanism for tracking school transportation across the state.
The initiative is particularly relevant because school transportation involves children and requires higher levels of accountability from schools, vehicle owners and drivers.
A central database can help authorities identify the vehicles associated with individual schools and maintain updated information about their compliance status.
Vahan and Sarathi Integration Before Launch
Although the dedicated portal has already been developed, it is not yet live.
The Transport Department will first integrate the system with the existing Vahan and Sarathi platforms. The portal will be launched after this integration process is completed.
Connecting the new platform with existing transport databases is expected to make it easier to manage vehicle and driver-related information within the state’s broader digital transport system.
It can also reduce duplication in record-keeping and provide a more structured flow of information between schools and transport authorities.
What the New System Means for Parents and Students
For parents, the initiative could bring greater transparency to school transportation. Details about the vehicles used by schools, their mandatory documents and associated drivers will be maintained through a formal digital system.
For schools, the portal will create an additional compliance responsibility, as they will have to ensure that vehicle and driver information remains updated.
For the Transport Department, the database can provide a stronger foundation for monitoring school vehicles and identifying documentation gaps.
The broader objective is to make school transportation safer through better information, timely alerts and closer digital monitoring.
A Digital Step Towards Safer School Transport
The school vehicle portal is part of a wider shift towards technology-based monitoring of transport services. By bringing school vehicles and driver information into one system, Bihar aims to make the process more transparent and easier to monitor.
The effectiveness of the initiative will ultimately depend on regular updating of records by schools and timely action on alerts and compliance issues.
Once integrated with Vahan and Sarathi and launched, the portal could give Bihar a centralised digital framework for monitoring school transportation and strengthening accountability around the vehicles carrying thousands of children every day.
